PromptCrew is operated by LevelPoint, LLC ("PromptCrew," "we," "us," or "our").
This Privacy Policy explains how we collect, use, disclose, and protect personal information when you access or use PromptCrew, including our website, applications, AI features, community features, integrations, and related services (collectively, the "Services").
By using the Services, you acknowledge the practices described in this Privacy Policy.
1. Scope
This Privacy Policy applies to personal information we process in connection with the Services.
It does not apply to third-party websites, applications, AI platforms, or services that you choose to connect to or access through PromptCrew. Those third parties may have their own terms and privacy practices.
When PromptCrew is provided to you through an employer, business, or other organization, that organization may control certain information associated with your account and use of the Services.
2. Information We Collect
We collect information you provide directly to us, information generated through your use of PromptCrew, information collected automatically, and information received from services you choose to connect.
Account and Profile Information
When you create or use a PromptCrew account, we may collect information such as your name, email address, password or authentication information, profile information, company or organization name, job role, and team information.
Organization and Team Information
If you use PromptCrew as part of a team or organization, we may process organization names and settings, team memberships, invitations, roles, permissions, Projects, and workspace configurations.
Customer Content
PromptCrew allows users to create, store, organize, share, and use AI-related content.
This may include prompts, skills, agents, AI capabilities, instructions, Projects, Knowledge, documents, files, examples, policies, templates, reference data, scripts, tools, tags, metadata, comments, and other collaborative content.
We refer to this information collectively as "Customer Content."
Customer Content may contain personal information depending on what you or your organization choose to submit.
AI Interactions
When you use PromptCrew's AI functionality, we may process the requests and instructions you provide, Customer Content used as context, attached Knowledge or files, conversation history, AI-generated responses, outputs, tool activity, and feedback about AI results.
Connected Services and Integrations
If you connect PromptCrew to another service, we may receive or process information necessary to establish and operate that connection.
This may include account identifiers, authentication credentials or tokens, workspace information, files or content you choose to access, and information returned by the connected service.
The information available to PromptCrew depends on the permissions you grant and the functionality you choose to use.
Communications and Support
If you contact us, request support, apply to a program, participate in onboarding, provide feedback, or otherwise communicate with us, we may collect your name, email address, company information, communications with our team, support requests, feedback, and information about your use cases.
Billing Information
If you purchase a paid plan, payment information may be processed by third-party payment providers.
PromptCrew may receive information such as your billing name, billing email, company name, subscription plan, transaction status, payment history, and limited payment method information.
Full payment card information may be collected and processed directly by our payment providers rather than PromptCrew.
3. Information Collected Automatically
When you use the Services, we may automatically collect technical and usage information such as your IP address, browser type, device type, operating system, approximate location derived from your IP address, pages or features accessed, dates and times of activity, referring pages, login events, feature usage, AI execution activity, error information, diagnostic data, performance data, and security events.
We use Google Analytics and HubSpot in connection with our marketing website to help us understand website usage, engagement, and marketing activity.
We use AWS CloudWatch and related infrastructure tooling to monitor application performance, diagnose errors, operate the Services, and help protect the security and reliability of PromptCrew.
4. Cookies and Similar Technologies
PromptCrew and our service providers may use cookies, local storage, pixels, SDKs, and similar technologies to authenticate users, maintain sessions, remember preferences, understand product and website usage, measure performance, diagnose problems, protect against abuse, and support marketing and communications.
Our marketing website currently uses technologies associated with Google Analytics and HubSpot.
We do not currently use advertising or retargeting pixels for cross-site behavioral advertising. If we introduce advertising or retargeting technologies in the future, we may update this Privacy Policy and provide additional notices or privacy choices as required by applicable law.
You can control certain cookies through your browser settings and through privacy controls we may make available.
5. Do Not Track and Privacy Preference Signals
Some browsers provide a "Do Not Track" signal. Because there is not a universally accepted standard for responding to Do Not Track signals, PromptCrew does not currently respond to those signals.
Where applicable law requires us to recognize an opt-out preference signal or similar privacy mechanism, we will process valid signals as required.
6. How We Use Information
We use information to provide, maintain, secure, and improve PromptCrew.
This includes creating and managing accounts; authenticating users; operating organizations, teams, Projects, permissions, and libraries; storing and retrieving Customer Content; providing AI-powered search, recommendations, generation, improvement, and execution; recommending relevant capabilities and Knowledge; operating integrations; processing subscriptions; providing support; communicating with users; sending onboarding, transactional, service, and permitted marketing communications; analyzing product performance and usage; preventing fraud and abuse; protecting the security of PromptCrew; complying with law; and enforcing our agreements.
We may also use aggregated or de-identified information that does not reasonably identify an individual to understand usage, improve PromptCrew, and develop our Services.
7. Artificial Intelligence and Customer Content
PromptCrew uses third-party artificial intelligence providers to deliver certain AI functionality.
When you use an AI-powered feature, information necessary to fulfill your request may be provided to an AI provider. This may include your instructions, Customer Content, Knowledge, files, conversation context, and other information required to generate a response or perform the requested action.
PromptCrew currently uses the OpenAI API for certain AI functionality.
PromptCrew does not use private Customer Content to train general-purpose AI models.
OpenAI states that information submitted through its API is not used to train or improve OpenAI's models unless the API customer affirmatively opts into data sharing. PromptCrew has not opted into sharing API inputs or outputs with OpenAI for model training or improvement.
AI providers may retain or process certain information for limited periods for purposes such as providing their services, maintaining security, detecting abuse, and complying with law. OpenAI's standard API practices may include limited retention of certain information for abuse monitoring, subject to its applicable policies, API features, configurations, and legal requirements.
PromptCrew may change or add AI providers over time. We seek to use providers under terms and configurations appropriate for business use and the protection of Customer Content.
8. How We Disclose Information
We may disclose information to service providers that help us operate the Services, including providers of cloud infrastructure, storage, authentication, artificial intelligence, search, payments, email delivery, analytics, monitoring, security, customer support, and communications.
These providers may process information as necessary to provide services to PromptCrew.
Organizations and Other Users
If you use PromptCrew through an organization or team, information associated with your account and use of PromptCrew may be accessible to authorized members or administrators of that organization.
Depending on your organization's configuration and permissions, this may include your profile, capabilities, Knowledge, Projects, collaboration activity, and certain usage information.
Content You Choose to Share
PromptCrew allows users to share content with other users, teams, organizations, or the PromptCrew community.
Content that you intentionally publish publicly or make available through community features may be visible to others and may be saved, copied, adapted, or reused by other users subject to our Terms of Service.
Do not publish confidential, proprietary, personal, or sensitive information to public or community areas unless you have the right and intention to make that information available to others.
Connected Services
When you instruct PromptCrew to interact with an external service, we may transmit information to that service as necessary to perform your request.
Your use of external services is also governed by those services' own terms and privacy practices.
Legal and Safety Reasons
We may disclose information when we reasonably believe it is necessary to comply with law or legal process; respond to lawful government requests; protect the rights, safety, or property of PromptCrew, our users, or others; investigate fraud, abuse, security incidents, or violations of our Terms; or establish, exercise, or defend legal claims.
Business Transactions
Information may be disclosed or transferred in connection with a financing, merger, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction involving PromptCrew or LevelPoint, LLC.
We may also disclose information when you direct us to do so or otherwise provide consent.
9. Sale and Sharing of Personal Information
PromptCrew does not currently sell personal information for money.
We do not currently use advertising or retargeting technologies for cross-context behavioral advertising.
If our practices change, we will update our disclosures and provide any legally required opt-out methods before or when such practices are implemented.
10. Organization Accounts
PromptCrew is designed for both individuals and teams.
If you use PromptCrew through an employer or other organization, that organization may control aspects of your account and certain information associated with your use of the Services.
Authorized organization administrators may be able to add or remove users, manage roles and permissions, access organization content, view certain usage or activity information, configure organization settings, and control access to shared capabilities and Knowledge.
Where PromptCrew processes personal information solely on behalf of an organization, PromptCrew may act as a service provider or processor to that organization.
If a privacy request concerns information controlled by your organization, we may direct you to the organization to process your request.
11. Data Retention
We retain personal information for as long as reasonably necessary to provide the Services, maintain accounts, fulfill the purposes described in this Privacy Policy, comply with legal and accounting requirements, resolve disputes, enforce agreements, prevent fraud or abuse, and maintain security.
Retention periods vary depending on the type of information, how it is used, and applicable technical and legal requirements.
If Customer Content is deleted or an account is closed, information may remain for a limited period in backups, logs, or other systems before being deleted through our ordinary retention processes.
We may retain information for longer when required or permitted by law.
12. Data Security
We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
These measures may include access controls, authentication, encryption, monitoring, logging, infrastructure security, and other safeguards appropriate to the nature of the information.
No system can guarantee absolute security.
Users are responsible for protecting their account credentials and for configuring organization permissions appropriately.
13. Your Privacy Choices and Rights
Depending on where you live and applicable law, you may have rights relating to your personal information, including rights to request access, correction, deletion, information about our processing or disclosures, or a copy of certain information.
You may also have rights to object to or restrict certain processing, opt out of certain uses or disclosures, withdraw consent where applicable, or appeal certain decisions.

You may unsubscribe from marketing emails using the unsubscribe mechanism provided in those communications. Even if you opt out of marketing communications, we may continue sending necessary transactional or service-related communications.
14. California Privacy Information
California residents may have additional rights under applicable California privacy laws.
Where those laws apply, rights may include requesting information about personal information we collect, use, or disclose; requesting access to specific information; requesting correction or deletion; and exercising applicable opt-out rights.

California law also requires commercial online services collecting personal information from California users to disclose their information practices and tracking practices.
15. Sensitive Information
Customer Content may contain information that users choose to provide.
Unless PromptCrew expressly agrees otherwise in writing, you should not use the Services to store or process highly sensitive personal information where specialized regulatory, contractual, or technical requirements apply beyond the standard Services.
You are responsible for ensuring that you have the rights and authorizations necessary to provide Customer Content to PromptCrew and that your use complies with applicable law and your organization's requirements.
16. Children's Privacy
PromptCrew is intended for professional and business use.
The Services are not intended for individuals under 18 years of age, and we do not knowingly collect personal information from individuals under 18.
If we learn that information has been collected from an individual under 18 in circumstances where it should not have been collected, we will take reasonable steps to delete it.
17. International Users
PromptCrew is operated from the United States.
If you access the Services from another country, information may be transferred to, processed, and stored in the United States and in other locations where PromptCrew or our service providers operate.
Data protection laws in those locations may differ from those in your jurisdiction.
Where required by applicable law, we will use appropriate mechanisms for transfers of personal information.

PromptCrew may contain links to or integrations with third-party websites, applications, and services.
Third parties acting independently from PromptCrew maintain their own privacy practices, and PromptCrew is not responsible for those practices.

We may update this Privacy Policy from time to time to reflect changes to PromptCrew, our practices, technology, or applicable requirements.
